How to Use Claude AI to Automate Your Business (Step-by-Step)

If Claude isn't running as the brain of your business yet, you're playing on hard mode. Here's exactly how I set it up and use it every day.

Why Claude, not ChatGPT (for business use specifically)

I'll keep this short: for business operations — long docs, connectors, strategy, on-brand writing — Claude out-performs ChatGPT for me every single time. ChatGPT is better for images, voice, and casual chatting. Claude is better for work.

Step 1: Set up your Claude account + billing

Get Claude Pro ($20/mo). Don't cheap out with the free tier — you'll hit rate limits within an hour of real work.

Step 2: Write your business context doc

This is the single highest-leverage thing you'll do. Open a Google Doc titled "Business Context — [Your Company]" and answer these:

  • What do we sell?
  • Who's our ideal customer?
  • What's our tone of voice? Give 3 example lines.
  • What's our unfair advantage?
  • What are our 3 core offers with pricing?
  • Who's the competition? What do they get wrong?
  • What KPIs do we track weekly?
  • What's off-limits? (Words we never use, claims we never make.)

Aim for 2–5 pages. Update it monthly.

Step 3: Connect your tools

Inside Claude, go to Settings → Connectors and turn on Google Workspace, Notion, GitHub, whatever else you use. Claude can now read your world.

Step 4: Build your first project

Create a Project in Claude called "Business Operations." Upload your context doc. Now every conversation inside that project starts with Claude already knowing your business.

Example prompt to test it:

"Write a cold email to a mid-market SaaS CMO for our lead generation offer. Match our tone from the context doc. Under 90 words. First line personalized."

If your context doc is good, the output should already sound like you.

Step 5: Your daily / weekly / monthly Claude routine

  • Daily: first pass of any copy, email, or reply.
  • Weekly: KPI review (paste your sheet, ask for insights).
  • Monthly: strategy session (paste last month's data, ask what to double down on).

Common mistakes

  • Not writing the context doc. AI without context = generic output.
  • One-shot prompting instead of iterating. Great work takes 3–5 back-and-forths.
  • Not saving winning prompts. Build a prompt library in Notion.

What to build next

Once your Claude project is running, add specialty projects: "Ad Copy," "Cold Outreach," "SOPs." Each one gets its own context. Within a month you'll have five specialized AI teammates running.
