The Best AI Tools for Small Business Owners in 2026 (What I Actually Use)
Every week someone sends me a list of "50 AI tools every founder must use." Skip those lists. You don't need 50 tools. You need the 13 that actually run a business.
Here's what I actually use in People Trendy and LivingFuel, ranked by how much I'd miss them if they disappeared tomorrow.
Rule #1: One brain, many tools
The mistake I see most business owners make is picking 6 different LLMs — Claude, ChatGPT, Gemini, Perplexity, Grok — and jumping between them for random tasks. Pick one brain and centralize everything through it. That brain, for me, is Claude.
Claude — the brain
Claude wins for business use because of three things: long-context work (you can dump your entire business into it), connectors (Google, Notion, Slack, GitHub — natively), and its writing quality is noticeably less "AI-flavored" than ChatGPT for long-form business copy.
- Best for: strategy, copy, context-heavy work, connected workflows.
- Skip if: you need image or voice — Claude is text-first.
Higgsfield — AI image + video for ads
If you run paid ads, this is my #1 secret weapon. Higgsfield lets you build a brand-consistent image and video model and pump out 30 ad variations in the time it used to take to make 3.
- Best for: ecommerce, DTC, coaches, anyone spending on Meta.
Meta Ads
Not "AI" per se, but their auto-optimization, Advantage+ campaigns, and creative testing are genuinely the highest-leverage AI system inside my agency.
ManyChat — comment-to-DM automation
Instagram lives on comments. ManyChat turns every "yes" comment into a DM with your lead magnet. Combined with a Claude-written script, it's an inbound machine.
Instantly + Apollo + Apify + Airtable — the outreach stack
This is a system, not a tool:
- Apollo / Apify — pull hyper-targeted leads.
- Airtable — house them, enrich them, score them.
- Claude — write the personalized opener.
- Instantly — send from 20+ warmed inboxes.

Lovable — websites + funnels
I used to hate building websites. Lovable + Claude means I ship a full landing page in ~60 minutes now. This site is built on it.
ClickUp — project management
Not AI-native, but their AI features around task summaries and doc generation are surprisingly good. And I need one place my agency team actually works.
GoHighLevel — CRM + automation
Every service business should be on GHL. Calendars, pipelines, automations, review requests — all in one place, with AI conversation handling.
Google Workspace + Chrome — office layer
Docs, Sheets, Gmail. Boring, but it's the layer Claude connects to. Without a clean Google Workspace, your AI has nothing to work with.
My honest opinions on ChatGPT, Gemini, Perplexity, Grok
- ChatGPT — best for image generation and voice. I still pay for it. Not my daily driver.
- Gemini — deep Google integration is great in theory, in practice I keep going back to Claude.
- Perplexity — my go-to research tool. Skip Google for anything requiring current data.
- Grok — real-time X data is useful for trends. Not a serious business tool yet.

What order to buy them in
If I were rebuilding my stack from zero:
- Claude ($20)
- Google Workspace ($12)
- Lovable
- GoHighLevel
- Higgsfield (only if you run ads)
- Instantly + Apollo (only if you're doing outreach)
- Everything else — when a specific pain shows up
That's it. Don't buy tools you don't have a plan for.
